Before sharing a document you may need to hide a phone number, account number or address. Many people draw a black rectangle and think the job is done. In many cases the text is still in the file underneath.
Why a black box is not always enough
In a typical PDF editor, a black rectangle is just another shape laid on top of the page. The original text is still stored in the file, so someone can select the area, copy it or search for it. There have been well known cases where private text was recovered this way.
How real redaction works
Real redaction removes the content itself. On MergeMintHub, the pages where you draw boxes are turned into pictures with the boxes burned in, so the text underneath no longer exists as text. Pages with no boxes are left as they are.
Step by step
- Open Redact PDF and add your file.
- Press and drag over everything you want to hide.
- Apply the redaction and download the new file.
- Open it and try to select and copy the hidden area. You should not be able to read anything.
Check the details people forget
- Hide the same information everywhere it appears, including headers and footers.
- Remember names inside images, signatures and stamps.
- Check the file name and the document title.
- After redacting, search the result for the word you meant to hide.
Keep your original
Redaction is permanent in the new file. Keep your original for your own records, and share only the redacted version. Because the redacted pages become pictures, the file may be larger, and you can run Compress PDF afterwards.
Common mistakes in redaction
- Using a highlighter or white box, which only hides text visually.
- Redacting one page and forgetting the same detail on another.
- Sharing the original by accident instead of the redacted copy.
- Not checking the document properties, which can contain a name or title.
A simple checklist before you share
- Search for the words you meant to hide.
- Try selecting and copying text where the box is.
- Zoom in to make sure the box fully covers the text.
- Open the file on another device if the content is very sensitive.
Why a black rectangle is not enough
A very common mistake is drawing a black box over sensitive text in a PDF editor or on a screenshot of one. In many cases the text is still there underneath, and anyone can select it, copy it or remove the box. Several well known leaks have happened exactly this way.
True redaction permanently removes the content under the mark. After redacting, the information should no longer exist in the file at all.
What to redact before sharing
Think about what the receiver really needs. Typical items to remove include account and card numbers, national ID numbers, home addresses, phone numbers, dates of birth, signatures and the names of people who are not part of the matter. Keep what is needed to make the document useful and hide everything else.
- Bank statements: account numbers and unrelated transactions.
- ID documents: numbers not required by the receiver.
- Contracts: prices or names that are confidential.
- Medical papers: details unrelated to the purpose.
Always check the final file
After redacting, try to select and copy text in the redacted area. Search the file for the words you removed. Check every page, because a name can appear in headers, footers and image captions. Keep an unredacted original in a safe place and share only the redacted copy.
Do not forget metadata. The title or author fields of a file can contain names, so review them if the document is going to the public.
