How to Add a Watermark to a PDF

3 min read · Updated October 2026

A watermark tells readers how to treat a document. It can mark a draft, show who a copy was prepared for, or discourage careless sharing.

What watermarks are used for

  • Marking a file as DRAFT or CONFIDENTIAL.
  • Putting a client name on a copy that you send them.
  • Showing a company or personal name on a portfolio.
  • Making it clear that a document is a sample.

How to add one

  • Open Watermark PDF and add your file.
  • Type the watermark text. Keep it short.
  • Choose the colour and size, and how strong it appears.
  • Choose a diagonal or straight direction, and whether it appears once in the middle or repeats across the page.
  • Press the button and download the stamped PDF.

Making it readable but not annoying

A soft grey watermark at a low strength is easy to see without making the page hard to read. A single diagonal word in the middle is the classic look. A repeated watermark is harder to crop out but busier on the page.

What a watermark can and cannot do

A watermark is a visible mark, not a lock. Someone with PDF editing software may be able to remove it. If the content is truly sensitive, share it only with people you trust, and consider password protection when that option is available.

Common mistakes

  • Using long text that does not fit on the page.
  • Choosing a very dark, strong watermark that hides the content.
  • Forgetting to keep an unwatermarked original.
  • Relying on a watermark as security for secret files.

What a watermark is for

A watermark is a word or image placed on every page, such as DRAFT, CONFIDENTIAL, a company name or a copyright notice. It tells the reader how to treat the document and makes casual copying less attractive. It does not stop a determined person, but it clearly shows the origin of the file.

Common uses include marking contracts that are not final, protecting sample chapters, labelling internal reports and adding your brand to documents sent to clients.

Choosing opacity, size and angle

A good watermark is visible without blocking the text. Use light grey or a transparent colour, a diagonal angle for text and a size large enough to be seen but not so large that it hides the content. Test on a page with a lot of text and a page with a picture, because the same setting can look different on each.

  • Use low opacity so the text underneath stays readable.
  • Use a short word or two instead of a long sentence.
  • Keep the same position and size on all pages.

Remember what a watermark cannot do

Because the watermark is added on top of the pages, a skilled person with an editor may be able to remove it. For highly sensitive files, combine it with other measures, such as sharing only what is needed and keeping a record of who received which copy. Always save the watermarked version under a new name so your clean original stays intact.

Text or image watermark?

A text watermark is the simplest option and works well for words like DRAFT or CONFIDENTIAL. An image watermark, such as a logo, suits company documents and brochures. If you use a logo, choose a version with a transparent background and a light look, so it does not fight with the page content.

Think about printing as well. A pale watermark that looks elegant on screen can disappear on a cheap printer, while a dark one can make printed text hard to read. Do a test print of one page if the document will be printed.

Use the same watermark on every page, and mention in your email that the document is a draft or confidential, so the reader understands why it is there.

Frequently asked questions

Does the watermark go on every page?

Can I use other languages?

Plain English letters and numbers work. Some other scripts may not show correctly, and the tool tells you if your text cannot be used.

Is my file uploaded?

No. It is processed in your browser.
